Our Policies
At Refine Aesthetics, we are committed to providing exceptional medical aesthetic services. To ensure every client the best possible experience, we kindly ask our clients to adhere to the following policies
A Peaceful Environment: Your visit to our office should be a peaceful break in your day, and we ask that you help maintain the peace by placing your cell phone on silent or airplane mode while in our office. We take time to engage with our patients and we look forward to seeing you at every appointment.
How we Communicate with You: We may use your email address and your cell phone number to communicate with you. We may email and/or text reminders about upcoming appointments or notifications of events or special offers. If you opt out of the text/emails you will not receive appointment reminders and we will not take that into consideration if you no-show your appointments.
In return, you may text us with questions, concerns, or even text a picture of your treatment area. This text should not be used for emergency situations. In the event of an emergency, please call 911. Our text number is: 844.649.0590
Scheduling Appointments: We encourage all patients to schedule their appointments as far in advance as possible to secure their preferred date, time and provider. We offer online scheduling and scheduling with our aesthetic coordinators. To ensure availability and your convenience, we recommend scheduling your next service before leaving our clinic. Our dedicated staff will be happy to assist you with this.
Policy Agreement: By scheduling an appointment with Refine Aesthetics, you are agreeing to the terms outlined in our policies, which includes our cancellation policy.
Appointment Reminders: As a courtesy, we provide appointment reminders via email and text 2 hours, and 2 days prior to your appointment, along with a text the day the appointment was made. Please note, if you opt not to provide contact information or opt out of reminders, or if our reminder system fails, managing your appointments and adhering to our cancellation policy is your responsibility.
Payment Information: All appointments require a valid credit card to schedule. Your credit card will not be charged unless you cancel with less than 24 hours notice or no show your appointment. However, upon checkout, you can choose to use your card on file or a different payment method.
Cancellation Policies and Fees
We reserve a space in our schedule specifically for you. We understand that things happen, and life gets busy. However, in the case of a short notice cancellation (less than 24hrs notice), you will be charged a $100 cancellation fee for every 30 minutes of time booked with our providers. No shows will also be charged a $100 fee for every 30 minutes of time booked and will be required to pay $100 to book future appointments that goes towards the service at that appointment. You can cancel or change your appointment without charge up to 24 hours in advance of your scheduled time. Last minute cancellations do not allow us time to fill the providers schedule therefore we strictly adhere to this policy.
- Cancellations can be made by phone during our office hours from Monday to Thursday between 9:00am – 4:00pm and on Fridays from 9:00am – 3:00pm, or via email at Info@refineaesthetics.com. You can also leave a voicemail or send an email outside of these hours.
- In the rare event that we need to cancel or reschedule your appointment with less than 24 hours notice due to unforeseen circumstances, any applicable cancellation fees will be waived.
- By scheduling an appointment with us you are agreeing to our cancellation/no show policy and the card on file will be charged accordingly.
Payment Methods
We accept most major credit cards, debit cards, checks, cash, cherry payments and gift certificates. Full payment is required at the time of treatment. Cherry payment is the patient’s responsibility to sign up.
Credit Card Information
We require all appointments to have a credit card kept on file. This information is strictly for the purpose of facilitating your payments & for any no show and last minute cancellation fee.
Consultations
Consultations are $75 and can be directly applied towards your treatment/services completed within 30 days of your initial consultation. This $75 credit does not go towards skincare/retail purchases.
Returned Checks & Insufficient Funds Policy
Returned Checks: $100 return check fee will be charged to your account if a check is returned by the bank for any reason. This is in addition to the outstanding amount for the services provided.
Payment of Outstanding Balance: Once a check has been returned, the outstanding balance will be charged to your credit card on file. We reserve the right to apply these charges to any credit card that you have on file with Refine Aesthetics, without notice. All customers are required to keep a valid credit card number on file for such instances.
Insufficient Funds: If a payment is declined due to insufficient funds, the outstanding balance will remain on your account. If an account has a balance due that cannot be processed via card on file it will be sent to collections after 90 days
Late Fees: A 20% charge will be applied to any unpaid balances for every 30 days past due. This includes balances due to returned checks, insufficient funds, late cancellation, and no-show fees.
Booking Future Appointments: If your account has an outstanding balance no further appointments may be scheduled until any outstanding balance is paid in full.
Appointments
New Clients: Please arrive at least 15 minutes prior to your scheduled appointment to complete any new patient paperwork. All patient forms are available on your website. These are there for you to fill out at your leisure prior to your appointment if you wish. Should you have any questions please give our office a call.
Late Arrival: At Refine Aesthetics, we understand that unforeseen circumstances happen and can disrupt your schedule. Our goal is to accommodate all of our clients and ensure they receive the best possible experience and results. Should you find yourself running late for your appointment, please contact us at your earliest convenience. We will do our very best to accommodate you, but please keep in mind the following:
- We reserve your appointment time, especially for you. If you are running late, please contact us as soon as possible. If you happen to be running more than 10 minutes late, we may not be able to accommodate your full service. In some cases, we offer you a shorter service if possible or the option to reschedule with prepayment of service. We need to ensure that we’re not running behind other clients.
- If your delay is substantial you may need to reschedule your appointment. Please note that a rescheduling fee may apply. However, if we have an available opening on the same day, we will do our best to accommodate you without any additional charges.
Services & Prices: We make every effort to keep our website updated with our most current information, please note that prices, services, treatments and products are subject to change at any time without notice. We encourage all patients to inquire about pricing and available services when booking your appointment.
Promotions: Unless specifically stated, our promotions and/or special pricing may not be combined with other promotional offers. Please present any promotions/special pricing at the time of service; No price adjustments.
Quoted Prices: We will honor the pricing on a quote through the expiration date on that quote. Otherwise, our prices are subject to change at any time.
Payments: Payment for all services/treatments, products and gift cards are due the same day. All prices are subject to change without notice. We accept cash, check, venmo cards, Refine Aesthetics gift certificates and cards, debit cards, cherry payments and all major credit cards (Visa, Mastercard, Discover, and American Express).
Gift Certificates: Gift Certificates are available in any amount and may be used toward any service/treatment or products/retail offered at Refine Aesthetics. Gift Certificates are not redeemable for cash.
Refunds/Returns: Unopened products may be returned within 7 days of purchase. Opened product causing an allergic reaction may be exchanged within 30 days of purchase. A Gift Card or Refine Credit may be provided in place of a cash or credit refund. We do not offer refunds in any method other than gift cards or refine credit.
Treatment Outcomes Vary: Our goal is to give you, prior to receiving treatment, all the information you need to make an informed decision. Aesthetic medicine is not an exact science and your body may react in unexpected ways. We will provide you with the very best care, always keeping your aesthetic goals in mind. Please be assured that our team will only recommend treatments and products that will benefit you specifically and which are medically appropriate for you. If you have any questions at any time, please ask as we are here to help you! If you have a treatment outcome that is not what you expected, please make an appointment to come in and discuss your options.
You Must Participate for the Best Outcomes: Follow our Pre-Treatment and Post-Treatment Instructions. We’ve developed these recommendations so that you will have the best outcome possible.
Prepaid services: Must be used within 1 year of purchase. Services have a 1 year expiration and no refunds will be given towards unused services.
Client and Practice Relationship: We love having you as a patient, but we do reserve the right to refuse service to anyone at any time, for any reason.
Your provider may terminate the service without a refund if inappropriate language, actions or non-compliance occur or if the provider suspects you have body dysmorphia.
Patients under 18 years old must present written permission from their parents or guardian prior to their first service.
